Sub: Postponement of Dates of 27th AIC in Guntur [AP] & CWC  – reg.

 

Ref: Letter of the Reception Committee dated 3rd October 2008.

 

Dear Comrades,

 

The CHQ is extremely sorry to communicate that we have to change the dates of holding of our 27th AIC in Guntur [AP] due to unforeseen complications beyond the control of the CHQ.

 

The Reception Committee General Secretary has communicated that due to some partnership feud between the owners of the venue which we have booked for holding the 27th AIC, a large area of the venue is not being made available to us for the smooth holding of conference and for better convenience of the delegates. It appears that all efforts being taken by the Reception Committee including by bringing influence on the Partner of the venue through the MLA and other dignitaries have failed to convince the other Partner. The Reception Committee therefore expressed its inability to hold the AIC on the notified dates from 19th to 21st October 2008 and also the Central Working Committee Meeting.

 

The Reception Committee is able to find alternative accommodation with air-conditioned facility to house more than 1300 delegates in the University Conference Hall of Nagarjuna University at Guntur but that venue is available for different dates only. After analysing all the angles and in consultation with the President of our CHQ and other CHQ Office Bearers, it has been decided to change the dates of our 27th AIC to last week of November or first week of December.

 

The difficulties to the CHQ as well as to all Circle Secretaries and Divisional / Branch Unions and delegates are understandable and the CHQ is also extremely regretting for that. We are again sorry that all the travel arrangements that have been made by all are to be changed. But we have no alternative in the given situation and holding the AIC with good convenience to delegates and visitors is more important than

holding in a cramped accommodation with lot of inconveniences. It is a very important AIC in the background of Pay Commission and good atmosphere is essential to concentrate on the proceedings. Inconveniences in boarding and lodging are a diversion we cannot afford to.

 

The letter received from the General Secretary of the Reception Committee is enclosed for information of all comrades. The CHQ sympathises with the Reception Committee which has taken all efforts to overcome the problem unexpectedly cropped up and also due to change of dates the Reception Committee has to meet some financial loss since different places were booked for the AIC also requires to be suitable changed.

 

Comrades – This is inevitable and a fresh due Notice to the 27th AIC with the changed venue would be notified shortly giving more time for all to make their alternative travel arrangements.

 

Thus, the 27th AIC proposed to be held at Guntur from 19.10.08 to 21.10.08 stands postponed. Similarly, the CWC meeting scheduled to be held in the same venue on 17.10.08 to 18.10.08 also stands postponed.

Sub: Serious problems in holding the AIC from 19th to 21st October – Request for Change of dates for holding the AIC – reg.

 

Dear Comrade,

 

The Reception Committee is extremely sorry to convey that we are forced to face an unexpected complication of a bigger magnitude, which warrants us to place this request for change of dates of our 27th AIC to be held at Guntur.

 

The main venue of the All India Conference viz., the 'Triplaar School of Learning' was booked by us for AIC in the proper manner. But there is another partner to the property which we did not know at that time and who appears to own a major share in the property, who is objecting to certain area of the venue made available to us. We tried our best to convince the major partner including discussing with him through our MLA and other dignitaries. We have even offered to pay more money. The Partner is adamant and refuses to open up those areas of the venue, which is vital for holding the AIC smoothly and with convenience to large number of delegates.

 

We tried to book another venue that can accommodate more than 1500 delegates for holding our session and discovered that the Nagarjuna University Building with an air-conditioned hall with seating capacity for 1300 is available in Guntur but not on the same dates. This University Conference Hall would be the most ideal place for holding the conference since it has the air-conditioned facility also as well as bigger enough to hold the size of our conference. We have blocked the dates available there from 30th November to 2nd December 2008 and seek your confirmation to book the same.

 

We are extremely sorry for the unexpected developments beyond our control. We feel very much that we are putting the CHQ and all our delegates and visitors into extreme inconvenience. But we have no alternative other than go for alternative dates since the best of our efforts could not convince the other partner of the venue we have booked, who is beyond reasons to be convinced.
